What personal data we collect and why we collect it

Comments

When visitors leave comments on the site we collect the data entered in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.

An anonymized string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.

How long we retain this data

  • If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognize and approve any follow-up comments automatically instead of holding them in a moderation queue.
  • The full IP address and user agent are retained for up to 7 days. For older comments, user agent data is deleted and the IP address is anonymized by replacing the last octet(s) with zero.

Contact forms and email

If you send us a message through our contact form or via email, we will collect your name, email address, and any text that you enter in the form. We use this information to respond to your inquiries and support requests. We may also collect your IP address and browser details (user agent string) for security and spam detection purposes.

We also use Google reCAPTCHA v3 to fight comment form spam. See the Google Privacy Policy and Terms of Use for more information.

How long we retain this data

  • We keep all email and contact form submissions indefinitely to help us provide support and improve our services.
  • We retain the IP address and browser details for up to 7 days.

Log files

Like most website operators, we collect information that web browsers, mobile devices, and servers typically make available. This includes the IP address, browser type, unique device identifiers, language preference, requested page URL, referring/exit pages, the date and time of access, operating system, and mobile network information. We collect log information when you use our websites and services – for example, when you access online documentation, view product screenshots, or activate a license key for one of our products.

We use this information protect and secure our services, improve server performance, and detect and investigate malfunctions.

How long we retain this data

  • Log files are stored for up to 60 days.
  • Log data that is related to security incidents may be stored indefinitely. For example, if we detect suspicious traffic from a particular IP address, we may retain that IP indefinitely so that we can block any future requests from that address.

Analytics

We use Google Analytics for tracking visitors and aggregating information about the traffic to our websites. Google Analytics is a web analysis service provided by Google Inc. Google is a Privacy Shield participant. The Google Analytics privacy policy can be found here:  https://policies.google.com/privacy. You can opt out of Google Analytics tracking by using the Opt-out Browser Add-on.

On some of sites, we use WordPress Stats for the same purpose. WordPress Stats is an analytics service provided by Automattic Inc. See the Automattic Privacy Policy for more information.

Content performance and feature testing (A/B testing)

From time to time, we test possible improvements to our websites by creating multiple versions of a page or website component and showing each visitor a randomly selected version. We track how each version affects sales or the number of visits to specific pages. This information helps us increase sales and make our sites easier to use.

We use Visual Website Optimizer, an A/B testing service provided by Wingify Inc, for this purpose. See the VWO privacy policy for more information. You have an option to opt-out of being tracked by VWO services. Please see the opt-out page for more information.

Paying customers

We use PayPal to process payment transactions. You can find PayPal’s privacy policy here.

When you purchase our products or services, we will collect your name, business name, email address, physical address, tax IDs, and anonymized IP address. We use this information for accounting purposes, to respond to any requests from you regarding sales and support, and to help detect fraud.

We also use your email address to:

  • Deliver license details, download links, and invoices.
  • Notify you about any issues with your order or license(s), and about license renewals.
  • Notify you about policy changes and security breaches.

How long we retain this data

  • To comply with accounting and legal requirements, we keep data on financial transactions for up to 10 years.

Software updates

If you use our software (like our WordPress plugins), that software may periodically contact our servers to check for new releases and license information changes. When this happens, we collect some information about your license, the software, and the system environment:

  • Website URL and the license key or token associated with that website.
  • The most recent time that licensed site has checked for updates.
  • Partial IP address, e.g. “12.34.56.0”.

We also collect some information that we believe is not personally identifying. We’ll list it for completeness:

  • Installed software version.
  • Major and minor WordPress version number, e.g. “4.9”.
  • Major and minor PHP version number, e.g. “7.2”.
  • The date and time of the request.

Not all products send all of the above information. For more information, please refer to the documentation about the specific software.

We use the site URL and license data to verify that you have a valid license, to help enforce license terms, and to prevent abuse. We also use it in combination with request date and time to generate anonymous statistics about software usage, like the total number of sites using a specific plugin. We use the URL and IP address to detect security issues.

We use the software environment details that we collect to generate aggregate statistics about how our products are used. These statistics are used to ensure that our software stays compatible with common platforms, to help guide future development, and for marketing purposes.

From time to time, we may share aggregate, anonymous statistics with the public. For example, we may display the number of active plugin installs on our website, or publish a blog post about PHP version trends.

How long we retain this data

  • Data about individual requests is stored for up to 60 days.
  • Aggregate statistics are stored indefinitely.

Hosting and backups

  • Our sites are hosted by The ServInt Corporation (USA). ServInt is a Privacy Shield participant. You can find the ServInt privacy policy here.
  • We store backups and parts of our websites on Amazon Web Services (AWS), a hosting and backend service provided by Amazon.com Inc. AWS participates in the EU-US Privacy Shield framework. The AWS privacy policy is available here.
  • We also store some backups on Dropbox. Dropbox complies with the EU-US Privacy Shield framework. The Dropbox privacy policy is available here.
